    Tour Booking

    Book a tour for a guest or reservation when using Tour Desk in RMS.

    A tour booking represents the reserved spot on a tour when using Tour Desk in RMS.

    Tour bookings can be made directly from the Tour Availability Chart, Guest Profile, or Reservation with available tours and tickets determined by the tour setup, tour inventory, and tickets.

    A tour voucher will automatically be generated on booking of a tour with a guest and property copy that can be kept on file or provided to the tour operator as confirmation of the booking.

    Form Letters can be used to create custom tickets and waivers with a QR code to provide branded and personalised tour tickets that can be sent using correspondence in RMS.

    Setup Requirements

    The following setup is required to create a Tour Booking in RMS:




    Guest Tour Booking

    1. Go to Reservations > Guest Search in the side menu of RMS.
    2. Enter the guest details to perform a Guest Search.
    3. Select the Guest Profile and choose the 'Edit' icon.
    4. Navigate to the 'Tour Desk' tab.
    5. Select the  'Add' icon.
    6. Select a Tour Operator.
    7. Select a Tour.
    8. Optional: Select a Travel Agent.
    9. Select a Tour Date.
    10. Optional: Select a Pickup Point.
    11. Optional: Select a Pickup Time.
    12. Select a Tour Time.
    13. Select a Property.
    14. Optional: Select the checkbox 'Tour Confirmed with Operator'.
    15. Optional: Enter the Tour Operator Voucher Number.
    16. Optional: Enter the Tour Operator Reference Number.
    17. Optional: Enter Tour Transaction Notes.
    18. Optional: Enter Tour Voucher Notes.
    19. Optional: Select Dietary Requirements.
    20. Optional: Enter Tour Desk Report Notes.
    21. Select the 'Next' icon.
    22. Enter the Number of Tickets.
    23. Optional: Select and enter the Tour Extras.
    24. Select the 'Save/Exit' icon.


    Delete

    Additional Information

    Tour details will be optional or mandatory based on the tour setup in RMS.

    A tour voucher can be emailed or reprinted from the 'Tour Desk' tab on the Guest Profile by selecting the  icon.

    Access

    Users will require Security Profile access to the 'Tour Desk Tab' to create a tour booking in RMS.


    Go to Reservations > Guest Search in the side menu of RMS.

    Enter the guest details to perform a Guest Search.

    Select the Guest Profile and choose the  'Edit' icon.

    Navigate to the 'Tour Desk' tab.

    Select the  'Add' icon.

    Select a Tour Operator.

    Select a Tour.

    Optional: Select a Travel Agent.

    Select a Tour Date.


    Optional: Select a Pickup Point.

    Optional: Select a Pickup Time.

    Select a Tour Time.

    Select a Property.

    Optional: Select the checkbox 'Tour Confirmed with Operator'.

    Optional: Enter the Tour Operator Voucher Number.

    Optional: Enter the Tour Operator Reference Number.

    Optional: Enter Tour Transaction Notes.

    Optional: Enter Tour Voucher Notes.

    Optional: Select Dietary Requirements.

    Optional: Enter Tour Desk Report Notes.

    Select the  'Next' icon.

    Enter the Number of Tickets.

    Optional: Select and enter the Tour Extras.

    Select the  'Save/Exit' icon.

    A tour voucher with a guest and property copy will be generated on booking confirmation.





    Reservation Tour Booking

    1. Go to the Toolbar Menu Reservation Search in RMS.
    2. Enter the Guest Name or Reservation Number and press 'Enter'.
    3. Navigate to the 'Tour Desk' tab.
    4. Select the  'Add' icon.
    5. Select a Tour Operator.
    6. Select a Tour.
    7. Optional: Select a Travel Agent.
    8. Select a Tour Date.
    9. Optional: Select a Pickup Point.
    10. Optional: Select a Pickup Time.
    11. Select a Tour Time.
    12. Select a Property.
    13. Optional: Select the checkbox 'Tour Confirmed with Operator'.
    14. Optional: Select the checkbox 'Charge to go on Extras Account'.
    15. Optional: Enter the Tour Operator Voucher Number.
    16. Optional: Enter the Tour Operator Reference Number.
    17. Optional: Enter Tour Transaction Notes.
    18. Optional: Enter Tour Voucher Notes.
    19. Optional: Select Dietary Requirements.
    20. Optional: Enter Tour Desk Report Notes.
    21. Select the 'Next' icon.
    22. Enter the Number of Tickets.
    23. Optional: Select and enter the Tour Extras.
    24. Select the 'Save/Exit' icon.


    Delete
