    Cancellation Policy

    Setup a rule to apply to reservations when changed to 'Cancelled' status in RMS.

    A Cancellation Policy determines the rules applied to a reservation when changed to 'Cancelled' status.

    Information

    A Cancellation Policy determines the rules applied to a reservation when changed to 'Cancelled' status.

    A Cancellation Policy can be setup on a Rate Type, Derived Rate Type, Rate Type Property Rule, Rate Table and Rate Period or selected on the Reservation.

    The Cancellation Policy applied to the reservation will be determined by the following hierarchy.







    Reservation










    Rate Type Property Rule








    Rate Period






    Rate Table




    Derived Rate Type


    Rate Type

    The Cancellation Policy selected on the Reservation will override the policy setup on the Rate Type, Derived Rate Type, Rate Type Property Rule, Rate Table or Rate Period.

    The Cancellation Policy setup on the Rate Type Property Rule will override the policy setup on the Rate Type, Derived Rate Type, Rate Table or Rate Period.

    The Cancellation Policy setup on the Rate Period will override the policy setup on the Rate Type, Derived Rate Type or Rate Table.

    The Cancellation Policy setup on the Rate Table will override the policy setup on the Rate Type or Derived Rate Type.

    The Cancellation Policy setup on the Derived Rate Type will override the policy setup on the Rate Type.

    The Cancellation Policy setup on the Rate Type will be overridden by any setup on the Derived Rate Type, Rate Type Property Rule, Rate Table and Rate Period or selected on a Reservation.



    Rate and Reservation are default System Labels that can be customised.



    System Administrators will require Security Profile access to use this feature.

    Setup

    Have your System Administrator complete the following.

    1. Go to Setup > Lookup Tables > Cancellation Policies in RMS.
    2. Select the 'Add' icon.
    3. Enter a Short Description.
    4. Enter a Description.
    5. Optional: Enter a Code.
    6. Select and enter the Non-Cancellation Period.
    7. Optional: Select the checkbox 'Make Cancellation Note Mandatory'.
    8. Save/Exit.



    Selecting the option 'Make Cancellation Note Mandatory' will require Users to select a Cancellation Reason and enter a Cancellation Note to Cancel a Reservation.

    Go to Setup > Lookup Tables > Cancellation Policies in RMS.

    Select the  'Add' icon.

    Enter a Short Description.


    Enter a Description.

    Optional: Enter a Code.

    Select and enter the Non-Cancellation Period.

    Optional: Select the checkbox 'Make Cancellation Note Mandatory'.

    Select 'Save/Exit' to store the changes made and leave the setup.

    This Cancellation Policy will now be available to setup on a Rate Type, Derived Rate Type, Rate Type Property Rule, Rate Table and Rate Period or be selected on the Reservation.


    Setup

    Have your System Administrator complete the following.

    1. Go to Setup > Lookup Tables > Cancellation Policies in RMS.
    2. Select the 'Add' icon.
    3. Enter a Short Description.
    4. Enter a Description.
    5. Optional: Enter a Code.
    6. Select and enter the Non-Cancellation Period.
    7. Optional: Select the checkbox 'Make Cancellation Note Mandatory'.
    8. Save/Exit.



    Selecting the option 'Make Cancellation Note Mandatory' will require Users to select a Cancellation Reason and enter a Cancellation Note to Cancel a Reservation.
