    Allow Check-out with Outstanding Balance

    Setup to allow reservation check-out when there is an outstanding account balance in RMS.

    System Administrators can configure RMS to allow, warn or not allow departing a reservation when there is an active account.

    Information

    System Administrators can configure RMS to allow, warn or not allow departing a reservation when there is an active account.

    An active account indicates a debit or credit balance remains outstanding.

    Late Fees cannot be calculated until the reservation is updated to 'Departed' status and will conflict with the 'Don't allow active account on departure' option.

    The Reservation Rules in Accounting Options enable System Administrators to configure the rules and limitations on performing certain accounting actions on reservations.



    System Administrators will require Security Profile access to use this feature.

    Setup

    Have your System Administrator complete the following.

    1. Go to Setup > Accounting > Accounting Options in RMS.
    2. Navigate to the 'Reservation Rules' tab.
    3. Select the 'When Departing a Reservation' option.
    4. Optional: Select the 'When Cancelling/No Show a Reservation' option.
    5. Save/Exit.
    6. Log out of RMS.



    Warn will prompt users on check-out if any of the reservation accounts have an outstanding balance.

    Ignore will allow users to check-out a reservation even if there is an outstanding balance.

    Don't allow will display a warning to users and prevent check-out when there is an outstanding balance.

    Go to Setup > Accounting > Accounting Options in RMS.

    Navigate to the 'Reservation Rules' tab.

    Select the 'When Departing a Reservation' option.

    Select 'Save/Exit' to store the changes made and leave the setup.

    Log out of RMS to allow the database to update with the changes made.

    RMS will use the option selected to determine if check-out can be completed when there is an outstanding balance on any of the Reservation Accounts.
