    Guest Portal Form Letter Actions

    Setup a Form Letter that requires a document upload in the Guest Portal.

    Guest Portal Actions can be setup on a Form Letter to request a document upload from the Guest using the Guest Portal.

    Guest Portal Actions can be setup on a Form Letter to request a document upload from the Guest using the Guest Portal.

    Interactive Form Letters are Form Letters that include interactive elements used to create a form or contract that can be sent, completed and returned via the Guest Portal.

    Form Letters and Interactive Form Letters can include a Guest Portal Action for additional document upload including travel documentation, passports, visas, vaccination certificates, financial statements or additional forms of identification.

    Form Letters setup with a Guest Portal Action will be available in Guest Portal Triggered Correspondence to automate sending to the Guest Portal or can be sent manually from a Reservation or In/Out Movements to the Guest Portal.

    The following interactive elements can be inserted into a Form Letter:

    Element Icon Element Name Description
    Form Sets the boundaries of the interactive form within the Form Letter.
    Insert the 'Form' element when multiple interactive elements will be grouped together.
    Checkbox Inserts a checkbox that allows multiple options to be selected.
    Radio Button Inserts a radio button that can be used for either/or questions.

    Text Field Inserts a text box for free typing a response.
    Text Entry Area Inserts a larger text box that can be resized for free typing a longer response.
    Selection Field Inserts a defined list of available responses that can be single or multi-select.
    Button Inserts a button with text that can with the action option of Submit, Reset or Button.
    Hidden Field Inserts a read only field that can be used with a merge field to pre-populate a response on the form.
    Contract Tick Box Inserts acceptance of Terms & Conditions statements for Owners & Primary Occupants that can be customised.
    «cDigitalRegoSignature» Digital Signature Inserts a fixed-size signature box to capture digital signature input on the form.




    Guest and Reservation are default System Labels that can be customised.



    System Administrators will require Security Profile access to use this feature.

    Setup

    Have your System Administrator complete the following.

    1. Go to Setup > Correspondence > Form Letters in RMS.
    2. Select the 'Add' icon.
    3. Select a Document Format.
    4. Enter a Description.
    5. Enter an Email Subject Line.
    6. Select a Guest Portal Action.
    7. Enter the Letter Contents.
    8. Optional: Insert Merge Fields.
      1. Place Cursor in the Letter Contents.
      2. Select a Merge Table.
      3. Select the Merge Field.
      4. Repeat for all required Merge Fields.
    9. Optional: Insert Interactive Elements.
      1. Place Cursor in the Letter Contents.
      2. Select an Interactive Element.
      3. Select and enter the Element Properties and choose 'Ok'.
    10. Save/Exit.
    11. Select the Form Letter Access and choose 'Ok'.



    The Guest Portal Action 'Image Upload' will send the Form Letter and include an 'Upload' button in the Guest Portal.

    Go to Setup > Correspondence > Form Letters in RMS.

    Select the  'Add' icon.

    Select a Document Format.

    Enter a Description.

    Enter an Email Subject Line.

    Select a Guest Portal Action.

    Enter the Letter Contents.

    Optional: Insert Merge Fields.

    Place Cursor in the Letter Contents, select a Merge Table and select the Merge Field.

    Repeat for all required Merge Fields.

    Optional: Insert Interactive Elements.

    Place Cursor in the Letter Contents and select an Interactive Element.

    Select and enter the Element Properties and choose 'Ok'.

    Select  'Save/Exit' to store the changes made and leave the setup.

    Select the Form Letter Access and choose 'Ok'.

    This Form Letter can now be sent to the Guest Portal using Triggered Correspondence or manually sent to the Guest Portal from a reservation.
