Reservation Statuses are used to categorise the reservation and indicate reservation attributes to RMS users.
The following Reservation Statuses exist in RMS:
- No Show
- Owner Occupied
Reservations change into Arrived status when they have been 'Checked-in'.
This status indicates that the guests on this reservation are currently staying in-house and the Area on the reservation is Occupied.
Reservations can be manually changed into Cancelled status when the reservation is no longer required.
Cancelled Reservations release the availability of the selected Area for those reservation dates.
Reservations will automatically change to Confirmed status if a Receipt is placed onto the Reservation Account.
Reservations can also be manually changed to Confirmed status by a user.
Confirmed status indicates some payment has been taken and the reservation is confirmed as 'coming'.
Reservations change into Departed status once they have been 'Checked-out'.
This status indicates that the guests on this reservation are no longer occupying the room.
The Maintenance status is used for Maintenance Reservations. It indicates there is a Maintenance booking in place for that Area.
Reservations can be manually set to No Show status on the day of their Arrive Date if the guests do not turn up by the time reception closes or as part of the night audit process.
No Show indicates guests were confirmed to arrive but did not turn up for their reservation, separating them from a Cancelled Reservation.
Owner Occupied status is used for Owner Accounting properties to indicate the guest on the reservation is the Owner of the Area.
Pencil status is used on Pencil Reservations that have not been converted into a real reservation.
Reservations in Pencil status are not completed bookings and are placing a temporary hold on availability for the selected dates.
Reservations can be manually changed to Quote status to indicate the reservation is not yet confirmed or required whilst still deducting from overall availability for those dates.
Online reservations that are unable to be allocated to an Area in the booked Category will also arrive in Quote status to indicate they require attention by a user.
Unconfirmed status indicates the reservation has not had any payments taken against it yet.
This status can reflect new reservations where a deposit is yet to be paid.
Reservations can be manually changed to Unconfirmed status if required.
