Completed declarations are processed automatically and a notification sent to the property via the Message Centre if a completed form requires review.

Pre Check-in & Guest Declaration Information
Guest Makes a Reservation
A reservation is created in RMS for the guest which triggeres a Reservation Confirmation email being sent.
Reservation Confirmation
It is recommended that the Reservation Confirmation letter sent to guests includes relevant health & safety information as well as the requirements for guests to complete Pre Check-in with a Guest Declaration prior to their arrival at the property.
The Guest Portal login merge field can be added to the Reservation Confirmation sent to guests to make it easy for them to complete their Pre Check-in.
Guest Pre Check-in
The guest completes their Pre Check-in via the Guest Portal including the Guest Declaration and Contact Tracing questions that have been setup in RMS.
Pre Check-in includes options for obtaining a guest's photo ID, acceptance of terms & conditions with the guest's signature as well as any payments setup.
Guests will need to complete any questions in the Guest Declaration as part of the pre check-in process and register their accommodation details for the previous 14 days.
This completed form is retained against the guest's reservation for 60 days after departure.
Notification of a completed Guest Declaration will be sent to the property via the Message Centre and any declarations where additional guests were added or an answer requires review will be included.
A reminder SMS or email can be setup as Triggered Correspondence to send on the day of arrival for any reservations where the guest has not completed the Pre Check-in.
Guest Declaration Review
Staff only need to review a form where the guest has answered 'No' to one of the questions and they recieve the notification in the Message Centre.
All other forms are automatically reviewed and processed by RMS.
In the event a guest does answer 'No' to one of the statements, a staff member should make contact to discuss the details with the guest and refer to the local government health advice for proceeding with the guest's stay at the property.
Guest Arrival
Guests arriving who have completed their Pre Check-in can proceed through the property's check-in process.
Guests who arrive and have not yet completed the Pre Check-in should be directed to do so on their mobile device prior to being checked in at the property.
Contact Tracing
In the event that a confirmed case of COVID-19 occurs and contact tracing is required the Guest Declaration form can be downloaded from the Correspondence tab of their reservation and provided to the relevant health authorities.
